Import Contracts

  • You can import and or update investors (person and company) in the system.
  • The import will update the entity, the account and the instruction of the investor.
  • Under the main menu select Investors -> Import Contracts
  • You can leave out most of the columns, but the following are needed in each scenario:

We create a new person:
if we cannot find a person with a given ID Number

We create a new company:
if we cannot find a company with a given Company Registration Number

We create a new account when:
we cannot find an investor account where the ID Number, product name AND investor account number don’t match

We create a new instruction:
when the investor does not have a new or rejected instruction

(instructions that can be imported are Recurring Investments, Once Off Investments and Transfers In)

 

To update person:
we need ID Number and New ID (if we want to update the current ID number, else leave New ID out)

To update company:
we need Company registration Number

To update an account:
we need ID Number, product name AND Investment Number

To update existing instruction:
we need the Instruction type, If “Recurring” then we look for Rejected or New existing recurring instruction, else we create a new one, same with Once Off and Transfer

(instructions that can be imported are Recurring Investments, Once Off Investments and Transfers In), wording to use in import, Once Off, Recurring, Transfer. Initial fees set on the account will be taken into consideration when determining the amounts to be invested in the instruments. In such instances it would be easier to use percentages instead of amounts in the import.

Contribution on instruction import:

Member – and employer contributions can be imported as an amount or percentage based on a salary type.

Both a and b below will have to be set.

a. Contribution type for member contribution and Contribution type for employer contribution

Available inputs:

  • ‘Amount’
  •  ‘Percentage Of Monthly Pensionable Salary’ (only if ‘Pensionable Salary’ > 0)
  • ‘Percentage Of Monthly Risk Salary’ (only if ‘Risk Salary’ > 0)
  • ‘Percentage Of Monthly Salary’ (only if ‘Salary’ > 0)

b. Member Contribution and Employer Contribution

Can be either  Currency value or % dependant on input in a above

Note: Where a column for ‘Initial Platform Administration Fee’ or ‘Initial Advisor Fee’ is added to the import file, the account’s Initial Platform Administration Fee’ or ‘Initial Advisor Fee’ will be updated.

If you import an instruction, the import works the same as when you create an instruction through the user interface. i.e it creates the instruction based on the initial fees on the account and if the instruction already exists, and you change the account’s initial fees it changes the instruction’s initial fees, since it gets the fees from the account. If the instruction have been submitted (or authorised, before you change the account’s initial fees it does not change the instruction’s initial fees.

The exception is if you override the instruction’s initial fees on an existing instruction. Then changing the account’s initial fees (through an import or the user interface) have no impact on the instruction’s initial fees.

 

Setting Columns ‘Override Ongoing Platform Administration Fee’ and/or ‘Override Initial Platform Administration Fee’ to No/False will remove overrides on ‘Ongoing Platform Administration Fee’ and/or ‘Initial Platform Administration Fee’ on the account. In such a case, the columns ‘Ongoing Platform Administration Fee’ and ‘Initial Platform Administration Fee’ must be left empty in the import file.
